Instructions for E-Poster Presenters
E-Poster Discussion Sessions
Certain Posters will be scheduled in dedicated Poster Discussion Sessions. The presenters in these sessions will upload a 1-page E-Poster file to the general poster gallery (see instructions below) and also prepare a short PPT about their abstract to share during the Poster Discussion Session.
“Raise your hand” during session
During the live E-Poster Discussion Session a participant will be able to click on the “raise your hand” feature to be unmuted by the chair and share to ask questions or state conclusions aloud for speakers and audience to hear.
E-Poster Viewing
Abstracts allocated to E-Poster Viewing will upload their E-Poster to be available for viewing, from the start of the meeting, in the e-poster gallery on the virtual platform (no dedicated session time).
Only E-Posters of registered participants will be displayed in the E-Poster Gallery.
Deadline for uploading your E-Poster: 6 May, 2021
Prepare your E-Poster
Presenters will receive a dedicated link to upload their e-posters via email later this month.
Technical specification for E-Poster preparation
Please submit your E-Poster as a PDF file in landscape orientation.
- File Format: PDF file – 1 page is recommended
- Orientation: Please create your document in PowerPoint in Landscape Layout 16×9 and Save it as a PDF file
- Font types: Arial, Calibri, Verdana Times New Roman or Helvetica
- Font size: > 11
- Hyperlinks, animated images, animations and embedded videos are not permitted
- QR Codes may be included
- Images and tables: at least 200 dpi. Good picture quality is essential.
- When inserting images, photos, tables, etc., use copy-paste. Do not use embedded documents
- Avoid overlapping objects and layers. Only the final view/status will be visible
- When saving your PDF please do not use symbols or special characters (ie. +/@/ü) in the file name
- File size: Less than 5 MB

Messaging E-Poster presenters
Within the platform, there is a messaging service to facilitate scientific exchange. Messages can be sent by participants directly to the presenter’s email (without seeing the presenters email address) by clicking the envelope icon.
Upload service is available until Thursday, 6 May 2021.
Networking opportunities for e-poster presenters
E-Poster presenters are asked to include a URL, linking to their own personal or institutional e-meeting rooms, where they can then meet other delegates face to face during the Meeting (not mandatory). Presenters are asked to include their availability to be online at their chosen virtual room. The URL and availability fields will be available inside the personal E-Poster area. The presenter takes responsibility for these third-party links and ESPID Meeting is unable to monitor them.
Publication Consent
By uploading your E-Poster and audio file, you agree to having it published in the official Congress publications and on the Meeting website, virtual platform and society website for the duration of 3 months following the Virtual Meeting.
How can I secure my e-poster and presentation when it is online?
ESPID Meeting enforces a strict zero-tolerance for illegal copying of content presented via the virtual Meeting platform (see Code of Conduct). Presenters are encouraged to clearly indicate in their presentations that the content presented shall not be shared or copied. Presenters are also strongly advised to secure a Digital Object Identifier (DoI) for their presentation by uploading it to an open data sharing repository for posters and slides.
Presenters should clearly indicate whether or not photography/recording of the poster, presentation and sharing/remixing of the material is permitted. To aid in this process, a digital graphic image may be incorporated in the poster. Click the images below and copy them.
